Privacy Policy

How Shine and Speak collects, uses, stores and protects your personal and health information, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Who this policy covers

Shine and Speak is a private speech pathology practice operated by Shine Yin Teoh, Certified Practising Speech Pathologist, based in Arncliffe NSW 2205.

This policy explains how we handle your personal information and your health information, whether you contact us through this website, by phone, by email, or as a client of the practice. Last updated September 2026.

What we collect

When you enquire: your name, email address, phone number, who the enquiry is for, and whatever you choose to tell us in your message.

When you register as a patient: the client's name, date of birth, gender, contact details, address, emergency and guardian contacts, referrer details, funding or plan details (NDIS, Medicare, DVA, Home Care Package, private health), Medicare or plan numbers where relevant, and relevant medical, developmental and language background.

During therapy: assessment results, session notes, progress notes, reports, correspondence with other professionals, and any recordings or work samples you consent to.

Health information is sensitive information under the Privacy Act. We only collect what we reasonably need to assess you, treat you, and meet our legal and professional obligations.

How we use it

To answer your enquiry, arrange and deliver your appointments, plan and provide therapy, write reports, issue invoices and process claims, and keep the clinical records we are required to keep.

We do not sell your information, and we do not use it for marketing without your consent. We will not use your child's information for anything beyond their care and our legal obligations.

Who we share it with

Only with your consent, or where the law requires or permits it. With your consent that may include your GP, paediatrician, occupational therapist, psychologist, school or early learning centre, NDIS plan manager or support coordinator.

Where we are required to disclose without consent, that is limited to situations such as a serious and imminent risk to someone's life, health or safety, mandatory reporting of child protection concerns, a court order or subpoena, or a lawful request from a regulator.

We use reputable third-party services to run the practice, including practice management and booking software, secure email, telehealth video, and website hosting. These providers hold information on our behalf under their own security and privacy obligations. Some may store data outside Australia; we take reasonable steps to ensure they protect it to Australian standards.

How we store and protect it

Clinical records are held in password-protected, access-controlled practice management software. Paper records, where they exist, are kept in locked storage. Devices are password-protected and encrypted.

Only Shine Yin Teoh accesses client records in the ordinary course of practice.

Adult records are kept for at least 7 years after your last appointment. Records for a client who was a child are kept until they turn 25, as required in NSW. After that they are securely destroyed or de-identified.

If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

Website, cookies and forms

This website uses cookies only for basic functionality and anonymous traffic measurement. It does not build an advertising profile of you.

The enquiry form on this website is delivered by our website host and the submission is emailed to the practice. The new patient registration form is provided by our practice management software and your details go directly into our clinical records.

Email and web forms are not completely secure. Please do not send detailed sensitive health information by email; tell us and we will arrange a secure way to receive it.

Children and consent

For clients under 18, a parent or legal guardian usually provides consent and may access the records. Where a young person is assessed as able to make their own decisions, we will respect their privacy and seek their consent directly.

If parents are separated, either parent with parental responsibility may generally request their child's records unless a court order says otherwise.

Accessing and correcting your information

You can ask to see the personal and health information we hold about you, and ask us to correct anything that is wrong or out of date. Ask in writing at [email protected].

We will respond within 30 days. In rare cases we may withhold some information, for example where releasing it would pose a serious threat to someone's life, health or safety, or would unreasonably affect another person's privacy. If we do, we will explain why in writing.

A reasonable fee may apply for producing copies of a large file.

Complaints

If you believe we have mishandled your information, contact us first at [email protected] or 0413 677 755. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days. See our complaints page for the full process.
